Job Description
Assist in receiving and processing supplies, maintain audit records, ensure quality and compliance, support inventory reconciliations, and coordinate with departments in a hotel environment daily.
Key Responsibilities
- Support cost‑control objectives and maintain audit records.
- Maintain records for municipality and local authority requirements.
- Update purchasing manager on rejected deliveries, short supplies and non‑supply for alternative actions.
- Ensure quality, quantity, price and shelf life of incoming supplies match purchase orders.
- Obtain specialist opinion on supply quality when appropriate.
- Secure received products and deliver them to respective departments or stores promptly.
- Create credit notes where appropriate.
- Document hotel property returns, repairs and refilling, and follow‑up on returns.
- Update accounts payable with supporting documents at end of day.
- Maintain updated supply documents in inventory system.
- Assist Assistant and Cost Controller with month‑end inventories, reconciliations and inventory system administration.
- Assist in quarterly, bi‑yearly and yearly inventory of operating equipment.
- Perform any other reasonable duties assigned by Cost Controller and Assistant Cost Controller.
- Respect receiving policies and procedures.
Requirements
- Degree or Diploma in Purchasing & Supplies, Procurement, Accounting, Finance or related field.
- 1–3 years’ experience in receiving, stores, procurement or cost control, preferably in a hotel environment.
- Experience with inventory management or ERP systems.
- Strong attention to detail and ability to verify quality, quantity, price and shelf life of goods.
- Good numerical skills to support reconciliations and accounts payable.
- Basic knowledge of accounting principles and inventory procedures.
- Understanding of audit requirements and documentation control.
- Good communication and coordination skills.
Preferred Qualifications
- Professional certification or progress toward CIPS or KISM (advantage).
- Knowledge of food safety and hygiene standards, especially for F&B supplies (advantage).
