Job Description
Coordinate daily operations and administration for Optimise Outsourcing, supporting finance, logistics, contract management, CRM upkeep, and executive assistance, ensuring accurate records, timely deliveries, and stakeholder satisfaction.
Key Responsibilities
- Invoice Management: log incoming invoices and maintain organized financial records.
- Reconciliation: support monthly reconciliation of company credit‑card statements against receipts.
- Credit Control: follow up with clients on outstanding invoices and escalate as needed.
- Supplier Onboarding: complete supplier setup forms and ensure compliance documentation is captured.
- Delivery Coordination: book and track domestic deliveries, providing end‑to‑end visibility.
- Stakeholder Liaison: act as point of contact between clinics and couriers to manage delivery windows and resolve delays.
- Demo Stock Management: coordinate movement of demo equipment for events, trials, and scheduled activity.
- Service Contract Renewals: manage renewals and flag upcoming or overdue accounts.
- Automation Monitoring: monitor automated renewal reminders and ensure follow‑ups are actioned.
- CRM Maintenance: keep Zuper/CRM updated in real time with service bookings, repairs, and contract status.
- Technical Support Coordination: assist with scheduling repairs and routine services.
- Diary Management: provide diary support for the Managing Director and Service Manager.
- Travel Arrangements: support travel coordination as required.
- Document Production: produce professional invoices, proposals, and business documents.
Requirements
- Proven experience in an administration, operations, or coordination role supporting multiple workflows.
- Confidence handling invoices, records, and structured follow‑ups, including credit control support.
- Strong system skills; experience with CRM software (Zuper a plus) and cloud‑based admin/accounting tools.
- Ability to coordinate schedules involving multiple external stakeholders.
- High attention to detail and focus on maintaining an accurate paper trail and clean data.
