Job Description

Lead ocean freight import/export operations at DHL in Nairobi, managing documentation, shipments, compliance, customer relations, and system processes while supervising staff and ensuring timely deliveries.

Key Responsibilities

  • Receive shipment transmissions/alerts and verify details in CargoSphere (CWI) system
  • Prepare, control and distribute import/export documents ensuring regulatory compliance
  • Arrange collections with origin stations and coordinate with shippers
  • Validate counterpart responses and finalize documentation
  • Share booking confirmations within 24 hours
  • Perform quality checks on draft Bills of Lading and obtain customer approval
  • Create/confirm transport orders and request required commercial documents
  • Monitor ETA/ETD, flag discrepancies and provide status reports
  • Issue SOB/Pre‑alerts, assign shipments in CWI and invoice based on rates
  • Update mandatory milestones in CWI and coordinate cargo movement
  • Route local import deliveries via Saloodo where applicable
  • Obtain release from co‑loader/carrier to avoid storage or detention charges
  • Develop and maintain customer relationships and support incident management
  • Initiate and address operational alerts and CCMs within timelines
  • Manage financial exception reports and meet deadlines
  • Participate in departmental updates on industry or regulatory changes
  • Support OFR Team Leader with system changes and information distribution
  • Supervise operations, provide backup during absences or peak periods

Requirements

  • BA/BSc/HND (minimum Matric) with 3–5 years experience in ocean freight/import‑export operations
  • Strong knowledge of customs requirements, road transport, and import/export regulations
  • Experience with CargoSphere (CWI) system
  • Proficiency in Microsoft Office applications
  • Excellent written and spoken communication skills
  • Strong interpersonal, influencing, negotiation, planning and organising abilities
  • Minimum 3–5 years’ experience in ocean freight
